Project Administrator / Project Engineer

ROLE OBJECTIVE:

The Project Administrator or Project Engineer is responsible for providing administration assistance and carrying out the duties required for the day to day operations of the project under the direction and supervision of the Project Superintendent or Construction Manager. The Project Engineer will also have the responsibility for ensuring that engineering and safety requirements for all temporary works and equipment are met. He/she is responsible for ensuring that administration of the contract as well as the subcontracts is done as efficiently and effectively as possible, and as instructed by the Construction Manager/Superintendent.

KEY PERFORMANCE MEASURES:

Duties include efficient and effective project management, engineering, estimating, scheduling and administrative functions on commercial construction projects with the goal of project delivery on time, on budget and on quality in a safe working environment.

SPECIFIC RESPONSIBILITIES & DUTIES:

To effectively complete the responsibilities of this position, the candidate must be able to complete the following:

• Co-ordinate, prepare and distribute the final detailed construction schedule in conjunction with Project Superintendent and Construction Manager. Review same with critical subtrades, obtain input, and update the schedule as required. Monitor progress on a weekly basis and record actual data.
• Attend site meetings with Owner and consultants as required by the Construction Manager. If required, prepare and distribute minutes of these meetings.
• Identify and set up, and administrate agreed procedures for Revisions, Requests for Quotations, Quotation Submissions, Change Orders and proper documentation of all changes on the project. Ensure Daily Work Orders are signed daily. Where applicable, utilize eCMS, PC computer software for revisions processing.
• Assist the Construction Manager in the preparation of quarterly project projections.
• Ensure that documentation for as-builts and manuals is being maintained by all trades. Assemble and transmit all materials for finalization of project close out requirements.
• Assist in preparation and processing of progress claims and co-ordination of these with Construction Manager/Superintendent and Main Office accounting.
• Assist Construction Manager/Superintendent to ensure proper site procedures are set up and maintained. In particular, site meetings, schedule and unit cost reporting requirements and formats.
• Ensure owners’ and consultants’ instructions are distributed, met, and carried out. Update plans and specifications with all revisions and information.
• Follow up as requested by the Construction Manager/Superintendent on subtrade performance, problems on the project, and contractual disputes and issues.
• Ensure project subcontracts, bonds, and insurance coverages are properly in place prior to subcontractors and suppliers starting on site.
• Receive, review, co-ordinate and transmit all shop drawings, samples, and colour selections as instructed by the Construction Manager/Superintendent. Schedule submissions in detailed construction schedule.
• Receive, co-ordinate, and transmit all consultant reports and supplementary instructions.
• Ensure proper maintenance of all site files, records, drawings, and specifications.
• Process time sheets, daily work orders, and time and material sheets as required.
• Organize punch list inspection and assist Superintendent in preparation and distribution of punch lists. Co-ordinate deficiency corrections and inspections, and document as required.
• Utilize strong written and oral communication skills, ability to organize project reports, computer skills, knowledge of estimating and site practices and procedures, and general interpersonal and relation skills to assist the Construction Manager/Superintendent in ensuring that the project runs smoothly.

QUALIFICATIONS:

  • Construction Technology certificate, engineering or relevant post-secondary education
  • Possesses strong communication skills, both written and verbal
  • Well organized, self-motivated with superior attention to detail
  • Good construction technical knowledge
